The work on the project needs the close cooperation between different units and departments of the Provision Healthcare Technologies. Therefore, the meeting should involve all stakeholders that may contribute to the successful completion of the project. However, stakeholders may face conflicts between each other in the course of the implementation of the project. The accurate distribution of functions between each stakeholder will help to prevent and to avoid conflicts within the organization.

The major stakeholders are project team members because they work on the project, develop and implement it. Therefore, the project teams should be present at the meeting. Second, sales and distribution department should be represented by its head or another manager, who is responsible for the work of the department and assists the head of the department. Similarly the promotion department should also be represented at the meeting. Naturally, Terry Smith as the head of the production department should also be present at the meeting. The cooperation between the project team, production department, sales and distribution department, and promotion department is essential for the successful implementation of the project.

Possible conflicts may arise between sales and distribution department and promotion department because of different views on the strategy of promotion and marketing the product. Conflicts may arise between project team and representatives of other departments as they may attempt interfere in the process of the project development and implementation. However, each department should participate in the project at the specific stage of the project implementation. For instance, the promotion department should participate in the implementation of the project, when the product is created and ready for the introduction in the market but the product needs promotion before the introduction. Sales and distribution department should join the project when the product is ready for distribution, when the manufacturing process has started and the product is ready for sales.
