Events Project Management essay

In the contemporary business environment, project management plays a particularly important role because it allows companies to work on specific projects, plan them carefully and allocated resources essential for their completion. In fact, project management implies planning, organizing, securing and managing resources for successful accomplishment of projects that meet specific organizational goals. In this respect, it is possible to distinguish event project management which focuses on specific event or chain of events that mark the completion of certain stage of the project. At this point, it is possible to refer to the project of the fun park community outdoor, which has a considerable potential but needs accurate planning and effective project management. Otherwise, a potentially successful and useful project may fail because of the poor management. Therefore, project management is very helpful in terms of the development, planning, organizing and managing resources, which are essential for the successful accomplishment of specific projects to reach certain organizational goals.

In actuality, it is possible to use diverse project management tools and techniques can be applied to the event such as opening of the fun park community outdoor. In this respect, it is possible to suggest several techniques that can be applied to the project (Schein, 1999). First, the probabilistic moment of risk is the technique that involves the assessment of risks on the ground of the evaluation of the impact of external events that may interfere in the fulfillment of the project. For instance, a natural disaster can interfere in the fulfillment of the project of the fun park and the project team should evaluate such risk, while working on the project. Alternatively, it is possible to use event chains technique which holds the premise that events are causing other events. In such a way, the project team should build up a chain of events, which are closely intertwined and lead eventually to the successful accomplishment of the project. Also, the fun park project team can use project tracking with events. This technique may be applied, when the project is partially completed and some events are already available. For instance, the project team has a plan of the fun park and communicated this idea to the local community. The project team receives feedback and team members can evaluate each event, including planning, communication and receiving feedback in terms of their successfulness in regard to the overall implementation of the project’s plan.

In fact, project management is a valuable approach to event planning, management and control, which are crucial for the successful accomplishment of projects. Project management allows accurate planning and scheduling projects step by step. The project team should plan each step, which steadily leads to the accomplishment of the project. At the same time, the management of projects occurs on the ground of the plan. Mangers track the completion of steps and introduce changes, if necessary. Managers conduct the permanent control over the implementation of the plan. If some elements of the plan turn out to be inefficient, managers introduce changes. In such a way, as project managers develop the plan, they should manage it and control its implementation. If they notice any problems, they should tackle them immediately and, if necessary, introduce changes in the plan of the implementation of the project.

At this point, it is worth mentioning the fact that traditional project management is different from event project management. Event project manager allows tracking the implementation of the project on the ground of specific events that have to occur to complete the project. In contrast, traditional project management has the schedule that sets the framework within which the project has to be completed.

Therefore, event project management is more flexible because managers have to complete the specific event or chain of events to complete the project successfully and it is up to the manager how he/she will complete the event or chain of events. The flexibility of event project management is extremely important in the contemporary business environment because the faster changes may be introduced the higher are chances of the successful accomplishment of the project and effective use of resources organizations spend on the accomplishment of projects. Traditional project management is also effective but its rigidity can put organizations implementing traditional project management in a disadvantageous position compared to organizations using events project management.

Practical implementation of project management includes several key stages: setting goals, planning, implementation and control. In practice, this means that the project should have clear and accurate goals, for instance, opening of the fun park community outdoor (Peters, 2002). More specifically, the goal of the project may include the benefit of the local community from the fun park as a place of recreation and for the organization because the fun park project can raise the awareness of the local community concerning environmental problems.

The next step is planning, which include key events that have to occur to complete the project successfully, including the following steps: the creation of the project team, shaping the concept of the fun park, developing the plan of the fun park, communication the concept of the fun park to the community, receiving positive feedback of the fun park from the community, construction of the fun park, promotion of the fun park, opening of the fun park (Viardot, 2001). After the creation of the plan, the implementation of the plan should be carefully managed under the control of the project manager. The project manager will control how the plan is implemented and whether outcomes meet the plan steps.

However, there are possible limitations of project management, which, though, arise, when the project team cannot work effectively. Project management may fail to develop long-run strategy because it may focus on specific events and project managers often fail to look far beyond the specific project. Project management often involves the work of the project team but other employees working in the organization may have good and creative ideas, which are left aside because these employees are not included in the project team (Gitlow, 1997). In addition, there is a risk of internal conflicts within the project team that may undermine project management.

Nevertheless, project management is quite effective. The high effectiveness of project management relies on the effective use and management of resources. In fact, the importance of resource management, including both human resources and financial resources, can hardly be underestimated. At this point, it is important to distinguish human resources and financial resources as key resources for the successful accomplishment of the project.

Today, human resources are particularly important for the effective project management. The effectiveness of interaction between project team members and their ability to generate new ideas and communicate them to each other as well as the ability to work in a team are crucial for the overall success of the project (Royse, et al., 2006). Financial resources are also extremely important for the successful project management because they define the budget of the project. The shortage of financial resources may provoke the failure of the project as well as misusing of financial resources also leads to the failure of the project. For instance, the project of the fun park has its budget and the project team cannot go beyond the budget limits. Otherwise, the project will not be completed properly.

Thus, taking into account all above mentioned, it is important to place emphasis on the fact that project management is highly effective, especially event project management. Project management includes planning, organizing and managing resources to reach specific goals. In this regard, the fun park project reveals the important of event project management because the fun park project can be completed successfully only on the condition of the effective project management and accurate and successful accomplishment of each of the steps described above.
